Scheduling Priorities, Process and Procedures
The Reservations Services Office schedules space on campus and provides related services to enable student groups, faculty and staff to have the opportunity to enhance their education, development and socialization. Scheduling priority for co-curricular activities is given to University sponsored events and events sponsored by University recognized organizations.
The Reservations Services Office is responsible for scheduling the conference rooms in the University Center as well as the lobbies of Hennings Hall, Bruce Hall, and Hutchinson Hall, and classroom spaces on the main campus. See the Scheduling Guide in the Reservations Manual for information on other spaces available on campus.
In accordance with the Policies and Procedures for Scheduling University Facilities, the goal is to reduce scheduling conflicts and allow sufficient time to both plan for events and allocate appropriate resources. Applicants requesting the use of facilities or grounds at Kean University must comply with these policies.

The deadline for reserving for various types of events is as follows:
- Programs with external speaker/artist/performer, at least four weeks in advance
- Programs with internal (KU) speaker/artist/performer, at least two weeks in advance
- Meetings limited to Kean faculty, staff and students, at least three days in advance
Requests for meetings requiring special set-ups, Food Services, or Academic Technology must be reserved at least two weeks in advance. Any questions, please call Reservations Services, (908) 737-5200.
Vendors will have access to the University Center to sell merchandise to the University Community on Wednesday during the Cougar Fair. A list of merchandise, a completed Vendor Contract, a valid State of New Jersey Business Registration Certificate and a completed Federal W-9 form (also known as a request for taxpayer identification and certification form) must be submitted in advance. Merchants unable to provide our office with both required forms will not be allowed to reserve a table at the University Center.
